CHEROKEE PTO MINUTES

September 3, 2013

Present were Suzanne Renn, Rebecca Smith, Elaine Humble, Katie Locke, Colleen Lacher, Mr. Martin, and Cara Kubler.

Meeting was called to order at 6:00.

August minutes were read by Suzanne Renn.  Cara made a motion to approve the minutes as read and Colleen seconded.

Treasurer’s report was given by Elaine Humble.

Beginning balance on Aug 21 was $7791.18

Ending balance on Aug 31 was $5811.50

Committee Reports:

• T-Shirt:  Order sheets are due Sept. 16^th.
  • Order forms will go home with students again this week.
  • Colleen will tally the orders she has and will get to Suzanne.
  • Suzanne and Rebecca will to final tally of orders and order shirts Sept. 19^th.
• Back to School Bash
  • Bought food and drinks for 200 and sold out.
  • Expenses-$254.11 to Suzanne for food and gift cards.  Rebecca donated $121.75 for door prizes.
  • Income- Food $206, and $37 from the 50/50 pot.
  • Turnout was great!  Increased numbers from previous years.
  • Recommendations for next year- Need to use megaphone to announce winners of door prizes
  • Door prizes- Have approx. 60 left over for Fall Festival
• School Directory
  • Forms due back September 16^th
  • ^{Colleen will get the forms already turned in to Suzanne to start the directory.}
  • ^{Notes will go home with the students again this week.}
• ^Boxtops
  • ^{Carol Denham will continue to collect at school.}
• ^{Parent/Teacher Conferences}
  • ^{Will provide pizza on Monday night and sandwiches on Tuesday night of Parent Teacher Conferences.  Conferences will be Oct. 21-22.  Will discuss who will pick up sandwiches at next meeting.}
  • ^{Teachers will bring pop and deserts.}

Old Business:

• Back to School Bash-  Need to purchase food for 200 people and buy door prizes for all students to get something.  Teachers will donate a door prize as well.
• Teacher Supply Donation- All teachers K-6 were given $100 for classroom supplies.  Mrs. Gage, Mrs. Horgan, Mrs. Logan, and Mr. Dainty were each given $50.  The money was presented at the Back to School Bash prior to door prize drawing.
• Library- Mrs. Logan was given the remaining $200 for the library upgrade to finish purchasing items at her discretion.
• Jennifer Hutton announced her resignation as PTO Treasurer.  Rebecca accepted her resignation and was thankful for all Jennifer has done with PTO in the past.  Jennifer turned her supplies and checkbook in to Rebecca.
• Elaine Humble was appointed Treasurer.  The supplies and checkbook were turned over to Elaine.
• Rebecca and Elaine will present to Labette Bank with current minutes and get their names on the bank account.

New Business:

• Fall Festival will be on Thursday, October 17^th 5:30-7:00 outside.  Will have the same games as last year and are welcome to any new ideas.  Will have K-3 donate 2L pop for the ring toss and 4-6 will donate a cake for the cake walk.  Any that we have left over will be raffled off at the end.  Will prefer the cakes are store bought.  Suzanne will send Mr. Martin an email encouraging teachers to participate and choose which events they want to assist with.
  • Will offer bottled water- Mr. Martin may be able to get this donated.
  • Will order ceramic pumpkins for all the students to paint at school.  Also will order tattoos, hats and candy from Oriental Trading.
  • Suzanne made a motion to have Elaine purchase 9- $5 Dollar General gift cards to raffle off.  Rebecca seconded.
  • Cara will be in charge of having the kids sign-up for raffles.
  • Colleen will be in charge of cake walk.
• Red- Cara will be in charge of getting meetings posted and sent out.
• Rebecca will create invitation to parents to get more involvement.
• Rebecca will create a boxtop letter so parents know to collect and send to school.
• Suzanne made a motion to donate $2 for K-3 to go to pumpkin patch, and can donate to 4^th-6^th as field trip options are available.  Rebecca seconded.
• Will wait until Spring to do Fruitoramma fundraiser.
• Elaine has paid the bill to Scholastic for $868.56.

Rebecca made a motion to adjourn meeting.  Cara seconded.
